  • At least two warehouse locations β€” you cannot archive your only location

When to archive a warehouse

Archive a warehouse when you close a location permanently β€” a branch that has shut down, a depot you no longer lease, or a store that has been consolidated into another. Archiving removes the location from your active list without deleting its historical records.

Before you archive

Before archiving a warehouse, ensure:

  • All stock at that location has been transferred out or written off via a stock adjustment
  • There are no pending purchase orders receiving into that location
  • There are no active production orders allocated from that location
  • The location is not set as the default warehouse

AADOPS will warn you if any of these conditions are not met.

How to archive a warehouse

  1. Go to Settings β†’ Warehouses
  2. Click on the warehouse you want to archive
  3. Click Archive warehouse
  4. Confirm the action

The warehouse disappears from your active location list. All historical records β€” past stock adjustments, transfers in and out, sales from this location β€” are preserved and remain visible in reports.

Restoring an archived warehouse

If you reopen a location, go to Settings β†’ Warehouses β†’ Archived. Find the warehouse and click Restore. It returns to your active list with zero stock β€” you will need to add opening stock via a stock adjustment.

Tip: Do not delete warehouses β€” archive them. Deletion removes the location label from all historical records, which can make past reports confusing. Archiving preserves the name in history while removing it from active use.
