Restricting access to sensitive data

How to control which staff members can see cost prices, profit margins, and other sensitive business data in COMPLIED.

What counts as sensitive data

On AADOPS, sensitive data includes:

  • Product cost prices and profit margins
  • Supplier purchase prices
  • Revenue and profit reports
  • Staff salary or wage records
  • Customer outstanding balances
  • Marketplace commission rates

How roles control access to sensitive data

The Cashier role cannot see cost prices, profit margins, or financial reports β€” by design. A cashier processing a sale sees the selling price and the total, but not what the product cost you or your margin on the transaction.

The Viewer role can see reports but cannot see cost-level data β€” they see revenue figures, not margin figures.

Admin and Manager roles have full access to all data including cost and margin information.

Additional POS restrictions

You can further restrict what Cashier-role staff can do on the POS. Go to Settings β†’ POS settings:

  • Maximum discount β€” set the maximum discount percentage any cashier can apply without manager approval
  • Require manager approval for returns β€” toggle on to require a Manager or Admin to authorise any return or refund
  • Hide cost prices β€” ensures cost prices never appear on any cashier screen
Tip: In a family business or small team, it can feel unnecessary to restrict access. But internal controls are not about distrust β€” they are about protecting everyone, including your staff. A cashier who accidentally voids a sale cannot be blamed if they never had the access to do it in the first place.
